The
Executive Administrative Assistant plays a pivotal role in supporting the CEO, (and other C-Level Executives) of the company by streamlining daily operations and ensuring efficient management of time, communications, and special projects. This individual will work closely with these senior leaders to enhance productivity, foster business growth, and maintain smooth coordination across multiple departments. The
ideal candidate is an intuitive and resourceful professional, able to anticipate the needs of the leadership team, exercise sound judgment, and manage highly confidential matters with discretion.
This is a visible and dynamic position requiring someone who can thrive in a fast-paced environment, balance multiple priorities, and contribute positively to the overall success of the company.
Qualifications:
- Education: Bachelor’s degree or equivalent experience required.
- Experience: At least 5-10 years of experience in an executive support role, ideally within a fast-paced or corporate environment, with direct experience supporting C-suite leaders.
- Skills & Expertise:
- Strong ability to prioritize tasks and manage time effectively.
- Exceptional attention to detail and the ability to manage complex projects and schedules.
- Highly proficient in Microsoft Office Suite (Outlook, Excel, PowerPoint) and familiarity with expense reporting tools.
- Bilingual (English and Spanish) is a plus.- Not required
- Excellent written and verbal communication skills, with a professional and polished demeanor.

Key Responsibilities:
- Executive Support: Proactively manage the calendars and schedules for the CEO, CFO, and CRO, ensuring that meetings, appointments, and priorities are effectively coordinated and conflicts are minimized. Act as the point of contact for scheduling requests and provide strategic guidance on time management.
- Communication Liaison: Serve as the primary contact for all incoming communication, including phone calls, emails, and correspondence. Screen and respond to routine inquiries, and prioritize executive involvement where necessary.
- Confidential Project Management: Take ownership of sensitive and confidential projects, ensuring all matters are handled with the utmost discretion and professionalism. Collaborate with the executive team to address high-priority, time-sensitive issues.
- Event and Travel Coordination: Plan, organize, and execute company events, from selecting venues to managing logistics, catering, and budgets. Oversee travel arrangements, including flights, accommodations, and itineraries, ensuring efficiency and cost-effectiveness.
- Cross-functional collaboration: Work closely with various teams across the organization to ensure seamless project execution. Attend meetings, take minutes, track deliverables, and follow up on action items.
- Document Creation and Presentation Support: Assist in the preparation of presentations, reports, and executive communications. Help draft, proofread, and format documents to ensure they align with company standards.
- Administrative Excellence: Handle expense reporting, ensuring all receipts and financial documents are processed in a timely and accurate manner.
- Continuous Improvement: Stay attuned to the needs of the leadership team and continually look for ways to improve processes, streamline workflows, and implement best practices across the administrative function.
- Other Duties: Provide additional support as required, offering flexibility to take on new challenges and special assignments.
Compensation: Competitive salary structure, PTO 10 days plus (7 holidays and 3 floating Holidays + 7 sick days and 3 personal days) including benefit package with medical, subsided dental, life, and long-term disability (LTD) insurance along with 401K Savings Plan (match).
